How to approve an OEM luggage sample remotely before bulk production

A practical guide to checking photos, videos, measurements, materials and product details when the buyer cannot inspect the sample in person

Shipping every development sample to the buyer is not always practical. International delivery takes time, and a project may need several rounds of color, logo or component confirmation before the final sample is ready.

For this reason, many OEM luggage projects use photos and videos for part of the approval process. This can work well, but only when the factory records the right details and the buyer knows what to check.

A clear video can confirm appearance and basic function. It cannot replace every physical test or material check.

Yes, for many appearance, assembly and function checks. The buyer should request a structured set of photos, measurements and continuous videos instead of relying on a few selected product images.

Confirm what the sample is meant to prove

Not every sample has the same purpose. A buyer may need to check the size and structure first, then approve the final color and logo in a later round.

Before the factory records the sample, both sides should agree on which details are ready for approval and which details are still temporary.

Structure sample

Used to check dimensions, compartments, opening method, assembly and component positions.

Appearance sample

Used to confirm color, surface finish, printing, lining and visible workmanship.

Pre-production sample

Used as the final reference for bulk materials, components, branding, construction and packing.

A structure sample should not be approved as a final color reference if it was made with temporary material. The approval record should state this clearly.

Request a complete photo set

A front photo alone cannot show whether the product is assembled correctly. The factory should record the suitcase from consistent angles and include close views of each custom detail.

Ask the factory to place the sample on a clean, neutral surface. Strong filters, dramatic shadows and reflections can make the color and surface finish harder to judge.

Use continuous videos for functional checks

Edited clips may leave out the part where a wheel jams, a trolley handle needs extra force or a lock does not close smoothly.

For each function, request one continuous video that shows the complete action from beginning to end.

A measurement photo can be misleading if the ruler starts from the wrong position or the product is measured at an angle.

The video should show the complete tape measure, the starting point and the final reading without cutting between steps.

Be careful when approving color on a screen

Phone cameras, indoor lighting and computer screens can all change how a color appears.

A dark green shell may look black under weak lighting. A warm beige lining may appear grey under cool factory lights. Glossy surfaces can also reflect nearby objects and make the color look uneven.

For a better color check, request:

A photo under natural daylight.

A photo under normal indoor lighting.

A close view of the material texture.

A comparison with the approved color chip or material swatch.

When the exact color is important, the physical color sample should be approved before bulk material preparation.

Check the logo from more than one angle

A logo may look correct from the front but appear tilted when the full product is shown. Its position should be checked against nearby shell lines, handles, pockets or panels.

Position: confirm the distance from the edges or reference lines.
Size: measure the complete logo width and height.
Orientation: check whether the logo is level and facing the correct direction.
Finish: inspect printing edges, plating, engraving or molded details.
Attachment: check screws, pins, adhesive or backing from the inside.
Consistency: compare every logo position used on the product.

Inspect the parts that are easy to overlook

The main shell often receives the most attention, while smaller parts are approved too quickly.

If these decisions are not collected into one final record, the factory may continue using an earlier version.

  • Logo method, size and position
  • Wheels, trolley, handles, lock and zipper
  • Lining and internal structure
  • Packaging method

Photos and videos are useful, but some decisions depend on touch, fit or direct comparison.

Consider a physical sample for:
